PRIVACY AND DATA PROTECTION
Hootenanny Festival Ltd is the controller of personal information collected through or in connection with our website, ticketing, payments, entry systems, customer service, marketing, merchandise, food and beverage transactions where linked to an identifiable customer, and official Festival photography and filming. Our privacy contact is moo@hootenannyfest.com. The following is a summary; our separate Privacy Notice explains our processing in more detail. Buying or using a ticket does not itself constitute consent to optional marketing or cookies.
We may collect contact details, date of birth and age information, ticketing and transaction information, entry and attendance records, website and device information, communication preferences, customer-service records and information you provide to us. Payment card details are processed by our appointed payment and ticketing providers; we do not store full payment card details.
We use personal information to operate the Festival and website; process bookings, tickets, transfers, refunds and customer support; manage entry, safety and security; communicate requested updates; send marketing where permitted; understand and improve the Festival; comply with legal obligations; and prevent or investigate fraud or misuse.
We rely on contract where processing is necessary to provide a ticket or other service, legal obligation where required, legitimate interests for the safe and effective operation and development of the Festival, and consent where required, including for certain marketing and optional cookies.
We may share personal information with providers supporting the website, ticketing, payments, communications, customer relationship management, event access, point of sale, IT, security, analytics, professional advice, insurance and Festival delivery, and with authorities where required. We do not sell personal information or provide our customer contact database to sponsors or partners for their independent direct marketing unless we have told you and have a lawful basis.
Some providers may process personal information outside the United Kingdom. Where required, we use an appropriate safeguard under UK data protection law. We take reasonable and proportionate measures to protect personal information and restrict access to people who need it for an authorised purpose.
We generally keep customer, planning and marketing information for up to five years from your last meaningful interaction with Hootenanny. We may keep information for longer where needed for legal, tax, accounting, regulatory, safety, contractual or legal-claims purposes. We delete or anonymise information when it is no longer required.
Subject to applicable law, you may have rights to access, correct, delete, restrict or object to the use of your personal information; object at any time to direct marketing; withdraw consent; and receive certain information in a portable format. To exercise a right or raise a concern, email moo@hootenannyfest.com. You may also complain to the Information Commissioner’s Office.
Official photography and filming may take place throughout the Festival for safety, security, operational, broadcast and promotional purposes. You may appear incidentally in general crowd footage or photographs. If you do not wish to be deliberately featured in a close-up or staged image, tell a photographer, filming team or member of staff where practical. We will take reasonable steps to respect that request, but cannot guarantee that you will not appear incidentally in crowd or background coverage.
